How to Transfer Deposits

Overview

This article is meant to inform the user on how to transfer deposits from one customer to another.

Use Case

John Doe has purchased a firearm for Susan Page for Christmas. John Doe has put down a deposit on the firearm but Susan Page will be completing the paperwork. In order to have Susan Page complete the paperwork and have the disposition and sell under Bettie Page, you need to be able to transfer the deposit that John Doe made to her sales order to dispose.

Process

Deposit from Customer 1

1. Click the Point of Sale menu

 

2. Insert the customer’s name in Customer Name field

 

3. Add the firearm to the sales order

 

4. Click Manage Deposit

 

5. Enter the Deposit Amount and select the Payment Method using the drop-down

6. Click Add

 

7. Click Save as Pending

If Quick Save Pending Sales Order is not Enabled:

8. Fill out the fields on the Save as Pending dialog

a. Name the pending SO for easier navigation

b. Ensure Save as Pending radio button is set to Yes

c. Ensure Allocate Inventory is set to Yes

 

9. Click Save as Pending

 

Change to Customer 2

1. Navigate to the pending sales order for Customer 1

2. Click the sales order number

 

3.Click Switch to Edit Mode

 

4.Click in the Customer Name field

 

5. Change the customer name to Customer 2

6. You’ll then receive various options for actions for changing accounts

 

7. Select the Change Account Option for the situation

 

a. Option 1- If neither of the customers have a membership, sell price plan, or discount and the sell price will be the same for Customer 1 and Customer 2, select this option

b. Option 2- If one of the customers has a membership, sell price plan, or discount that is applied or needs to be applied, select this option.

8. Check Transfer Deposit checkbox

 

9. Click OK to confirm the transfer of Deposit

10. Click Select to validate all settings in this dialog

Finish Sales Order for Customer 2

1. Select the SN that will be going to Customer 2

2. Click Verify & Add Serial Number(s) to SO

 

3. Ensure Apply Deposit is checked to apply the deposit from Customer 1 that was transferred

4. Click Confirm Bound Book Info to confirm the disposition

 

5. Verify information for the disposition for Customer 2 including the OTSN/NTN field

6. Click Proceed with FastBound Disposition

 

7. Click Cash to cash out with the applied deposit

 

IF utilizing the Delayed Disposition setting, dispose the firearm on the Delayed Disposition page at this time.
