How to Create a Contact

Overview

Trident 1® provides users the ability to create customer accounts and process orders, rentals, memberships and events. This work instruction provides a step by step process for creating a contact in Trident 1®.

Process

Log in to Trident1

1. Visit the Trident1 provided portal

2. Enter your username and password

3. Click Login

 

What is a Contact?

Trident1 is built upon the Omna CRM capabilities that make Trident1 not only one of the Elite FFL point-of-sales systems on the market but also an amazing database tracker.

Contacts are individuals or accounts who may not be customers or vendors but whose information you would like to keep stored.

Creating a Contact

1. Hover the mouse over the Customer menu

2. Then hover over Contacts

3. Click Create Contact

 

Contact Information

Perform the following to create and assign contact information:

  1. Click the Type drop-down

Select the type of contact to create:

  • Lead

  • Vendor

2. Click the blank field next to the Type drop-down.

Enter any identification for the new lead or vendor, examples:

  • Coordinator

  • Contact

  • Distributor

  • Shipper

3. Click the First Name drop-down.

Select one of the following:

  • Mr.

  • Ms.

  • Mrs.

  • Dr.

  • Prof.

4. Click the blank textbox of the First Name field.  Enter the name of the contact.

5. Click the Last Name field.  Enter the last name of the contact.

6. Click the Office Phone field.  Enter the office phone number.

7. Click the Mobile field.  Enter the cell phone number.

8. Click the Lead Source drop-down.

Select one of the following:

  • Email Response

  • Cold Call

  • Website Form

  • Referral

  • Google Ad

  • Other

9. Click the Title field.  Enter the contact's title.

10. Click the Fax field. Enter the fax number.

11. Click the Twitter User Name field. Enter the username.

12. Click the Twitter Handle field. Enter the handle.

13. Click the Email field. Enter the email address.

14. Click the Assigned To drop-down.  Select the store representative assigned to the new point of contact.

15. Click the Custom drop-down.

16. Click the Create Date calendar icon.  Select the current date.

17. Click the Company Name field.  Enter the company name.

18. Click the Website URL field. Enter the site.

19. Click Referred By field.  Enter the name of the referral if applicable.

Address Information

Complete the contacts address information for sending notifications, flyers or receipts. Perform the following to complete the section.

1.Click Copy Other Address or Copy Mailing Address for notifying contact.

2. Click the Mailing Street field.

Enter the following:

  • Street Number

  • Street Name

  • Street Type

3. Click the Other Street field.  Repeat step 3 if the contact provides another address on file.

Note: Skip to step 6 if the no additional address is added. 

4. Click the Mailing PO Box field.  Enter the PO box number if the contact provides a PO box on file.

5. Click the Other PO Box field.  Enter the additional PO box information if applicable.

6. Click the Mailing City field.  Enter the city. Click the Other City field.

Enter the city of the additional address if applicable.

7. Click the Mailing State field.  Enter the state.

8. Click the Other State field.  Enter the state of the additional address if applicable.

9. Click the Mailing Postal Code field.  Enter the zip code.

10. Click the Other Postal Code field. Enter the zip code of the additional address if applicable.

11. Click the Mailing Country field.  Enter the country.

12. Click the Other Country field.  Enter the country for the additional address if applicable.

Description Information

The Description Information field is used to add additional information about the contact on file. Check with the onsite manager to determine what information is necessary for the field and the times use the field.

Click Save when finished
